Our most frequent questions and answers

Yes, all Conference delegates, speakers, exhibitors, volunteers, and staff will be required to be up to date on their vaccinations in order to attend the Conference in any capacity. Please view CAGP’s COVID-19 Policy & General Waiver and Release.  All Conference delegates are required to read and agree to these terms when registering.  You may be asked to show proof of vaccination upon arrival at the Conference venue.

Currently, British Columbia has no indoor mask mandate, and per our published COVID-19 policy, we will follow their guidance and will not require masks to be worn during the conference. If you choose to wear a mask for your health, and the protection of others, we fully support you in that decision and wish you to feel as safe as possible during your time with us.

Below is the CAGP Conference Cancellation Policy  that all delegates are asked to read and agree to when they register for the Conference. As always, though, CAGP is open to reconsidering this policy on a case-by-case basis, under extenuating circumstances.

In the event of a cancellation, we will not reimburse travel, accommodation nor other costs related to the event. You might want to consider purchasing travel insurance that would cover these extra costs.

CAGP will not be collecting proof of vaccination during online registration, however, you may be required to show proof of vaccination when you arrive at the Registration Desk at the Conference venue. 

At this time we do not anticipate the need to do daily screening of each delegate, however, CAGP will be following Public Health recommendations on how to best keep our delegates safe.

During the registration process, you will be offered a coloured sticker to wear on your lanyard to indicate your level of comfort with social interactions with others. From “hug it out” to “please keep your distance”, we want you to feel comfortable here.

Complimentary WIFI access is available throughout the hotel. It is recommended that you have alternative means to access the internet and emails through your own service provider as the WIFI provided is very basic. It is not recommended that you rely on the free WIFI for security and stability reasons.

When you first access the app (or event page on a non-moble device), you will be prompted to provide your email to login and then create a password. 

Please be sure to use the same email address that you used to register for this event.

If you haven’t logged into a CAGP app before, it will ask you to create an account. You will need to provide your first and last name and create a password.

If you have logged in to a CAGP app in the past, you will be asked to provide your password. Should you not remember your password, please select the “Forgot Password” button and an email will be sent to reset it.

This year’s Conference app is more robust than ever. Your basic profile and your pre-selected education sessions are already uploaded to the app for your convenience, and you can add more information to your profile. The full conference schedule is easily accessible within the app, too.

You can also connect with other Conference delegates by messaging them directly within the app. Speaker presentations and session surveys will also be available through the app as well as the ability to take notes during sessions. Lastly, all session evaluations will be done via the app.

Staff at the Conference registration desk are always happy to help you out if you need some guidance in using the app.

Dress is business casual for the conference.

For Wednesday night’s banquet, we recommend more formal business attire.

If you are currently registered for one of these events and you have to cancel, please let us know as soon as possible, as we might have someone on the waiting list who would happily take your place!

On-site parking is available for $4.50 hourly, $26 daily.  Off-site parking is available for $3.50 hourly, $15 daily.  Rate subject to change.

Yes, there is fitness centre, an indoor swimming pool and a whirlpool. Please visit the website for hours of operation.

CAGP will make healthy food choices for the conference meals based on the menus available at the venue. However, not all food preferences or intolerances can be accommodated by the venue, unfortunately. Please see the next section for info on allergies. 

A full Conference registration fee includes breakfast, lunch and the Opening Reception on Tuesday; breakfast, lunch and the CAGP Banquet on Wednesday; breakfast and lunch on Thursday.

Those attending one day only will be provided with breakfast and lunch. The banquet on Wednesday is not included in the Wednesday Only registration.

If you have a food allergy, be sure you included this information in your registration.  We can take food allergy requests up to one week before the conference.  After that, we cannot guarantee that food allergies will be accommodated. Please note that we cannot guarantee that no cross-contamination has taken place in the special preparation of an allergy-free alternate meal. We ask that delegates also be responsible for managing their own preferences and intolerances.

Full Conference delegates automatically receive entry to the Wednesday night banquet. If you are a one-day delegate or coming as a guest, you will need to purchase a banquet ticket. Please contact the National Office at conference@cagp-acpdp.org as soon as possible to ensure a banquet ticket. The deadline to purchase a banquet ticket is Friday, June 3.

Prior to the Conference, delegates will receive an email with instructions for accessing the speaker presentations online via the Conference website (password protected). Presentations will also be accessible through the app  As new presentations are received, they will be posted online so check back for updates. Kindly print your desired speaker presentations before arriving at the Conference if that is your preference, or visit the hotel business centre to do so onsite.

An electronic PDF version of the delegate list will be sent out to the Conference delegates just before the Conference. It will also be available to download in the speaker presentation area of the website – only accessible via password. Kindly respect the privacy of our delegates – this list is not to be used for advertising purposes. If your name does not appear on this list, it is because you opted out of the list on your registration form.

Name badges must be worn at all times for access to meeting sessions and meal functions and to ensure the safety of the meeting. This includes wearing your name badge to the banquet.  

CAGP recognizes that some people are sensitive to scented products. Perfumes and strong odours can precipitate severe asthma attacks. Please limit the use of perfumes, scented hair spray, cologne, aftershave and any other highly scented products out of respect for these individuals.

Please note there will be a photographer on-site taking pictures of the conference for use in future CAGP marketing materials.

The Conference will be 100% in-person. There will not be a virtual component to the Conference. 

Bursary applications are closed for 2024.

The dress code is business casual. For the banquet dinner Thursday night, the dress code is business attire.

Yes, there will be a Conference app, which will be ready to download prior to the Conference. On this app, you will find the agenda, information about our sponsors and exhibitors, and much more. During the Conference, you will be able to access speaker presentations and session evaluations as well.

There will be 2 pre-Conference courses offered on Tuesday, April 2, 2024: Gift Planning Fundamentals and The Advanced Canadian Gift Planning Summit. You may register for one of these courses with the Conference registration. If you wish to register for one of these courses only (and you are not attending the Conference), you will choose the Gift Planning Fundamentals ONLY option or Advanced Canadian Gift Planning Summit ONLY option at the beginning of the Conference registration. 

There is a place on your Conference registration to sign up for the optional social activity on Friday, April 5 (National Gallery of Canada tour). If you decide you would like to join in the activities after you have already registered for the Conference, contact Erin Kuhns, Manager, Education and Training at ekuhns@cagp-acpdp.org. There is no guarantee that there will be space left at the social activities after the registration deadline has passed.

You can contact us at ekuhns@cagp-acpdp.org to have your Conference confirmation email resent to you. Your chosen sessions will also be on the app, which will be available prior to the Conference. Watch for an email from us at that time with instructions for downloading the app. 

Please feel free to use your technology to enhance your conference experience. #CAGP24 is the official conference hashtag if you are sharing anything on social media.

We do ask that you be mindful of those around you by turning your phones to silent. If you must take a call, please do so outside the session room.

CAGP Conference Cancellation Policy 

 

Notice of all cancellations must be received in writing by February 29, 2024. If you must cancel your registration, three options are available:

1) Your registration may be carried forward for you to attend the 2025 conference (subject to a $250.00 administration fee – plus tax)

2) Your registration fees may be refunded (less a $250.00 administration fee – plus tax)

3) Your registration may be transferred to a colleague within your organization at any time (less a $75 administration fee – plus tax)

As of March 1, 2024 there will be no refunds or carry-forwards. No-shows forfeit the full registration fee. Please send your cancellation requests to education@cagp-acpdp.org.

CAGP reserves the right to amend or cancel the event. Please note that in the event of a forced cancellation (for example, a mandated closure by Federal or Provincial Government), all registrations will be reimbursed in full (unless otherwise agreed upon by delegate and CAGP).

If an event has to be cancelled or rescheduled we will contact you as soon as possible to notify you of the change. You will be offered an alternative date or a full refund.

In the event of a cancellation or rescheduling, we will not reimburse travel, accommodation or other costs related to the event.

Code of Conduct for CAGP Annual National Conference – Policy & Procedures

 

CAGP is dedicated to ensuring a welcoming and safe conference experience for everyone, regardless of gender, gender identity and expression, sexual orientation, disability, physical appearance, body size, race or religion. All participants, speakers, sponsors, exhibitors and volunteers are expected to comply with this code of conduct to ensure a respectful and secure environment for all in attendance.

Harassment of conference participants in any form will not be tolerated. Harassment may be verbal or non-verbal, and includes offensive expressions, sexual images in public spaces, deliberate intimidation, stalking, following, inappropriate photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention.

Anyone asked to stop any harassing behaviour is expected to comply immediately.

If a participant engages in harassing behaviour, the conference organizers may take any action they deem appropriate against anyone violating these rules, including warning the offender or expulsion from the conference without a refund.

Anyone being harassed or noticing someone else being harassed, or with any other concerns related to this policy or conduct of conference participants, may contact a member of the conference staff immediately, either at the event registration desk, or via email at info@cagp-acpdp.org, or through contact information provided on the “helpdesk” feature on the Conference App.

Conference staff will be happy to assist participants in contacting hotel/venue security or local law enforcement, provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the conference.

Participants are expected to follow these rules at all conference venues and conference-related social events.
